General Rental Policies

We will send you our rental policy document to be signed when we send you your rental contract. The policies below highlight some of the more important rules that must be observed when staying at Bella Vista.

No other check-in is required once confirmation and payment are received.

The PIN number to get into the home is provided at the 30-day mark when your full balance is collected. It will be emailed to you. After obtaining your lock box PIN number, you will enter the lock box combination into the lock box located by the front door. Specific directions will be included with your check-in documents.

Payment Policies
The credit card you provide will be used unless other arrangements are made. The balance of your payment is due 30 days prior to reservation or at the time of booking if reservation is made within 30 days of your stay. See the rental fee page for more information on prices, taxes and fees. All rates, fees and policies are subject to change without notice.

Cancellations and refunds.

Cleaning Fee

A $90 cleaning fee will be assessed. Please see the rental agreement contract for the specifics on cleaning. Your home is stocked for your arrival with paper products including tissue, toilet paper, paper towels, napkins, laundry, and dish detergent. See amenities list for more details.

Please leave the home in the same general condition as it was when you arrived. Staff will arrive after your departure to thoroughly clean and inspect the home.

All food and drink spills should be cleaned up as they occur. Food and drink spills on carpet are considered to be damage, not normal wear and tear.

Refrigerator should be free of spills. All used dishes should be rinsed and placed in the dishwasher on the wash cycle.

Additional housekeeping charges may also be applied in the occurrence of exceeding the maximum occupancy of the cottage.

Pet Policy

No pets are allowed inside of Bella Vista, in the garage or on the decks.

Functions

There are no weddings, wedding receptions, graduations parties or other functions allowed at Bella Vista. Please be aware that the max number of persons in the home, 8, means no more than 8 people are allowed in the home at any time unless permission is given by the owners. Bella Vista is located in a residential neighborhood and as such, governed by strict HOA rules that limit the number of cars in the driveway and parked along the street.

Smoking Policy

ABSOLUTELY NO SMOKING IS ALLOWED.

Quiet Hours

10 PM -9 AM - Monitored and enforced. Bayshore Estates is a special neighborhood with a family environment. Please respect the desire of our full time residents and other guests in honoring quiet time.

One key is in the lockbox. A $25 lock replacement charge will apply if keys are missing.

You'll want to bring the following items for your stay:
Food & Condiments, Baby equipment, Personal Toiletries, Beach Equipment, Specialty Cooking Items,

For any item you do not see listed or are not sure about, please email or call and ask. If you are arriving after dark, we suggest that you bring a flashlight.

Specific Policies and Guidelines

1) Bella Vista Vacation Rentals, LLC are not and cannot be responsible for lost or stolen items. A $10.00 service charge and C.O.D. costs are required if you request us to pick-up any mail or items left in the home.

2) No pets allowed. You will forfeit your deposit and will not rent to you again if we discover a pet on the premises. Pets are also not allowed anywhere on the premises, inclulding the garage or decks.

3) Guest understands that in the event that the home in which they have a reservation is sold or no longer being rented, then a full refund, including all deposits and other fees, will be issued. No other compensation will be made.

4) Occupancy and the use of premises shall not be such as to disturb or offend neighbors or residents. Bella Vista Vacation Rentals, LLC has the right to terminate this agreement and to ask distruptive guests to vacate the premises without refunding rent or deposits. The maximum occupancy for Bella Vista is 8 guests unless you have made arrangements with the owners (children over 12 months count as a person). If it is found more than 8 people are occupying the home (overnight guests), guests will be asked to leave without a refund. Additionally, Bella Vista is not to be used for any type of large gathering such as a wedding, wedding reception, graduation celebration. In short, we do not allow large groups on the premises, even if they plan on leaving before nightfall. Bella Vista is not equipped for this sort of activity and the wear and tear on a home with events like these is generally severe.

5) There cannot be more than 3 cars parked at Bella Vista. No more than 2 will fit in the garage, which means one could then be parked in the driveway. Motorhomes, RVs and boats are strictly prohibited in this area and will be towed if the HOA sees this. Violation of this policy will also result in the loss of rent and deposits.

6) There are absolutely no refunds for early departures under any circumstances. This also applies to cancellations due to weather, mechanical failures or any acts of God.

7) Guests shall leave the premises in reasonably clean, undamaged condition. If the home is not left in suitable condition, Guest(s) understand that Bella Vista Vacation Rentals, LLC has the right to charge the guest(s) for any repairs, replacement or damaged items, or special cleaning. In the event the guest leaves the home in a condition where it is unable to be made ready for the next guests, you may be responsible for list rental revenue. Upon your departure, you will be expected to take out the garbage, run the dishwasher, start a load of towels and leave the home in reasonably clean condition. The cleaning fee covers “normal” use and you will be charged for excessive dirtiness.

8) Accidents do happen and we understand this. If you have a spill, please soak it up with paper towels and give us a call if you do not know how to handle it. Most stains can be prevented if treated immediately. If you have a baby or small child who wets the bed, please provide a waterproof pad to prevent stains on the bedding. If there is an accident on a bed, please soak linens in cold water immediately. Please do not wash and dry towels or linens that have been stained. Please set them aside with a note and we will treat them. If you wash our sheets or towels, do not mix light and dark colors together. Do not wash our comforters, duvets, pillow shams or other items of the same type. If you have any questions regarding laundry or if something is damaged on the premises, please call us.

Carpets: Every effort is made to keep the carpets in excellent condition. Carpets are cleaned after guests leave and you will be responsible for any excessive soiling of the carpet that were caused during your stay. There is a spot cleaner in the closet with other cleaning supplies. Please remove your shoes in the entry room.

9) Please do not take furnishings, BBQ, radios or any other items like this outside.

10) Bella Vista Vacation Rentals, LLC makes every effort to ensure that all games, appliances and electronics are in working order prior to your stay. In the event there is malfunction with something inside the home, please contact us.

11) Guest(s) agrees that Bella Vista Vacation Rentals, LLC and its Agents may enter the premises for the purposes of making necessary repairs or maintenance when deemed necessary.

12) We ask that you do not cook fresh crab inside the house as the odor is nearly impossible to get rid of later. You can take your crabs to the Alsea Port where they can cook them for you.

13) Local toll calls are free. Long distance calls will require a calling card.

14) Minors under 18 are not to be left alone and must also be accompanied by a parent or chaperone.

15) Absolutely NO SMOKING is allowed in Bella Vista or anywhere on the property including the garage or decks. If the no smoking policy is violated, you will be required to leave the home immediately and you will forfeit all rent and deposits. Bella Vista Vacation Rentals, LLC has the right to enter the home and check for evidence of smoking if they have reason to believe this policy is being violated. Be aware that non-smokers are often agitated by the scent left behind and it is very difficult to remove. PLEASE, respect this policy.

16) Do your best to not track sand into the house. We know this is virtually impossible, but it helps if you are able to leave your shoes outside or in the entry room and also spray down your children outside before entering. We also like to carry our little kids into the bathtub after we spray them down outside with the hose. This usually works well and they enjoy the bath.

17) If possible, avoid putting too much food in the garbage disposal. The home uses a septic tank and this can create problems down the road. Instructions for use of the dishwashing machine are printed out and left near the unit.

18) It is permissible to have campfires on the beach, but the fires must be below the dunes and out of the driftwood area.

19) Absolutely no fireworks are permitted on the beach.

Checkout Information:

Check-in is 3:00 PM and check-out is 11 AM early check-in or late check-out times may be arranged (when available) with Bella Vista Vacation Rentals, LLC for an additional fee. If you arrive early or are not out by the check-out time without permission, you are subject to a fee of $50 per hour.

- Please leave the garage door opener where you found it (on the shelf in the entrance room) and return the house key to the lockbox. There is a $50 replacement fee for a lost garage door opener and a $25 fee for any lost house keys.

- Please place any garbage cans with trash in them outside in the wooden trash box. The garbage trucks come on Monday morning.

- All towels and sheets will be laundered when the rental is cleaned after your departure. We do ask that you start at least one load of towels upon your departure. Please make sure you do not leave any loads in the wash—only in the dryer.

- Make sure that you have not left any belongings behind. Check drawers, closets and showers.

- Please turn off the TVs, lights and turn the thermostat down to 65F.

- Close and lock all doors and windows. Also, we would appreciate it if you can lower the blinds on the ocean-facing side of the home.
